SmartMic Rooms Privacy Policy
Last updated: October 11, 2026
This policy covers the SmartMic mobile app, also listed as SmartMic Rooms, on Android and iOS. It explains the information used when you connect your phone to a SmartMic room host.

iOS publisher: Aspire Digital Technologies, Inc.

Information used to join a room
The current app requires a chosen display name and profile photo during setup. It saves them on your device and sends them to the room host you choose. A legal name is not required. A selected photo file may contain embedded metadata supplied by your camera or photo library.
The app also sends an automatically generated SmartMic identifier to associate your room connections. This identifier is stored on your device and is separate from an advertising identifier. If the room requires a password, the password you enter is sent to that host to authenticate your connection.
The room host and any network service that operates the connection can see the connection's IP address. The app does not separately ask you to provide your public IP address, date of birth, contacts, or device location, and does not request device location or contacts permissions.
Microphone, camera, and photos
SmartMic uses your microphone to send live audio during a call and your camera to send live video during a video call. Calls require the relevant microphone and camera permissions. Call capture starts after you tap Answer and grant the relevant permissions. You can mute audio, disable video, or leave the room using the app's controls, and revoke permissions in your device settings.
Camera access is also used when you scan a room QR code or take a profile photo. Photo selection lets you choose a profile image. Choosing a photo sends that image to the host; it does not send your entire photo library.
The mobile app streams live media rather than offering a feature to save call recordings on your phone. The host receives the media for room playback and display. Ask your room operator whether its systems record media or retain copies before joining.
Information stored on your device
The app saves your display name, selected profile image and image reference, SmartMic identifier, recent server address, and app preferences. It also saves call history, such as the call type, time, duration, outcome, and server address, and technical logs for troubleshooting. Logs can include connection addresses, errors, and information about audio, video, and connection state.
Saved call history and logs are available on your device until cleared or replaced by newer entries. The main call-history path and log storage use entry limits rather than a fixed number of retention days. The reviewed mobile app does not automatically upload its stored diagnostic log history to the host.
Room hosts and other recipients
Joining a room sends your profile, SmartMic identifier, authentication input, live media, and call activity to the host you choose. Room operators can display or play your media for the room's audience and retain participation records and technical connection logs. These records can include participant names, identifiers, connection IP addresses, join and leave times, and call durations.
A room operator may be separate from the app publishers. Its own notices and practices govern records it keeps, and its hosting or network providers may also process connection data. Retention periods, access, recording, and deletion practices depend on the operator. This policy does not promise that ending a call deletes the host's records or that every host uses the same retention period.
The mobile app includes no advertising or analytics SDK integration and does not send data to an advertising or analytics service as part of its reviewed functionality.
Connection security
The intended store release configuration requires encrypted WebSocket connections using TLS for profile information, room authentication, and live media. A compatible host must provide a valid encrypted connection. Local room discovery is disabled in the intended store release; you enter a host address or scan a room QR code.
TLS protects data on its way to the connection endpoint; the chosen host receives and can process it. Local app storage relies on Android or iOS app storage protections and your device's security settings.
Deletion and your choices
You can edit your profile and clear saved call history in the app. Privacy > Delete local app data clears saved app preferences, including the saved profile information, SmartMic identifier, server settings, history, and stored log entries. This does not delete the original photo in your photo library, data already received by a host, or every cached image file left on the device.
To remove remaining app storage, use Android's clear-app-storage option or fully delete the app on iOS. Device backups and original library photos are managed through your device or backup provider. Clearing local data causes the app to request setup again and generate a new SmartMic identifier when needed.
For deletion of information retained by a room host, contact that operator. For questions about the mobile app or help identifying the appropriate operator, contact SmartMic at raziq.yaqub@aamu.edu or (256) 372-4118. Include the room or host and relevant dates where possible; do not send passwords or call recordings. Mail: Room 207, A.J. Bond Hall.
